Project management will be implemented at the consortium level through Steering Committee (SC) and at national level in Georgia through Local Committee (LC), where one representative of each partner institution will participate in the work of the SC and one of each Georgian partner in LC.
- The task of SC is to initiate and supervise all activities through constant communication with partners. Communication among partners will be organized on regular basis, through planned meetings and on-line
- communication of local coordinating team and management team and through study visits as part of several working packages.
- All partners will prepare activity reports and send it to the coordinator, on semi-annual basis. Financial reports will be prepared on annual basis, followed by annual and final report on all project activities.
- All aspects of project implementation will be followed and managed through reporting system, with interim and final reports to EACEA.
- During the project (48 months), it is planned to hold a kick-off meeting of the SC and regular meetings in person twice a year, followed by online meetings if necessary. The duty of the project coordinator is to prepare the structure and frameworks of the
- reports, which project partners will then fill-in. For the purpose of exchanging documents, the cloud platform (Microsoft Teams) will be used in order to reduce expenses and to be efficient.
- SC will provide input into strategic and organizational issues and define the project standards and agree on all project policies that must be formally and explicitly stated. Tasks assigned to consortium partners will become contractual obligations.
The responsibilities of the SC will be to:
- Review project progress and control the activities;
- Ensure that the project maintains its relevance;
- Be aware of relevant activities in other projects;
- (4) Resolve any technical administrative or contractual issues, which have not been resolved by other means within the project;
- (5) Be the overall quality manager of the project. Decisions will be taken on a consensual basis, and in case of disagreement, the SC will make the final decision.
- In the case of Georgian partners, Local Committee (LC) will be organized for implementation of project activities and reporting on the overall project management to the SC.
LC will be responsible for the project implementation at national level and the preparation of 2 annual reports to the SC.
- LC will meet at least twice a year.
- Coordination between the SC and LC will be conducted in English, and within the LC on the national languages Representatives of national educational institutions will be regularly informed and kept informed of progress in the project but will not be directly involved in the LC. Furthermore, each participant in the project will report to its competent (superior) authorities in accordance with national legislation.
- Any interested stakeholder who takes part in the project will be regularly kept informed of the progress of the project via the website and social networks, but this also applies to visitors of joint meetings at the national level that do not participate in the LC.
- Distribution of tasks will be performed equally between the partners within seven work packages (WP). All WPs have different leaders, and partners with knowledge and experience in certain areas are entrusted with related WPs. For example, UNS is the leader of WP2 (project management), FHJ of WP6 (Quality Assurance and Monitoring), Iakob Gogebashvili Telavi State University of WP 5 (Pilot testing of the generic DUGEOR model), etc.
One person will be selected from each partner institution who will be responsible for the visibility of project activities, i.e. activities related to public relations and promotion of the project activities at the national / institutional level. The issue of ownership of the project will be discussed at the coordinating meeting of all partner institutions and will be defined by the Agreement on Ownership.
